How to Handle Customer Complaints in Japanese
Japanese customer complaint phrases for listening, apologizing, fact-finding, safety, refunds, escalation, angry callers, written follow-up and consumer rights.
A professional Japanese complaint response begins with ご不便とご心配をおかけし、申し訳ございません — “We are sorry for the inconvenience and concern.” Then listen, verify facts, state the next action and give a deadline.
An apology without action frustrates customers. A promise without authority creates a second complaint.
Key takeaways
- Let the customer finish the first explanation.
- Apologize for impact without inventing facts.
- Separate urgent safety issues from normal service recovery.
- Confirm order, date, amount and desired outcome.
- State what you can do now and what needs approval.
- Give an owner and reply deadline.
- Record facts, actions and consent accurately.
- Escalate legal, safety, privacy and abuse concerns.
